Job: Finance and Office Administrator
Open City is seeking a highly organised, detail-oriented and trustworthy Finance and Office Administrator with a willingness to learn and an interest in systems, to work with us on a full-time basis and support the smooth running of the charity
Location: London - North Greenwich, Design District
Hours of work: 5 days a week; 37.5 hours
Salary: £30–35,000 per annum
Reporting to: Operations Manager
Starting Date: As soon as possible
Contract Type: Permanent
Role Overview
The Finance and Office Administrator will be part of the core operations team; working closely with the CEO, Operations Manager, and Head of Development to administer the charity’s finances, liaise with our accountants on all bookkeeping, reconciliation and VAT queries, issue invoices and schedule payments including payroll and expenses. Additionally, they will provide cross-organisational administrative support, including scheduling meetings and ordering supplies, as well as administering the organisation’s CRM, supporting data entry and reporting, and maintaining accurate IT and systems records. Some knowledge of charity finances, Xero accounting software and CRM data entry is desirable but not essential.

This role would suit someone who is keen to learn and grow in this role, enjoys working in a small organisation, is comfortable juggling a varied workload, and is motivated by working for a charitable cause.

Organisational administration: An interest in, and aptitude for, working with financial processes and charity finances, alongside careful and accurate data entry
Software and systems: Comfortable using Google Workspace applications (for example Docs, Sheets, Drive, and Calendar) to create, organise, and share information collaboratively, with support available to build confidence across the wider suite of tools. Ability to work with Xero accounting software as well as knowledge of Squarespace, Mailchimp, and Shopify is desirable but not essential; training will be provided.
Budgeting and planning:. An interest in how budgeting, resource allocation, and funding considerations support planning across programmes.
Detail-oriented and trustworthy: An organised, patient, and reliable approach to work, with attention to detail and respect for confidentiality when handling sensitive information.
Communication: Strong communication skills (both written and oral)
Multi-tasking: Capacity to effectively manage and prioritise multiple tasks
